Stop and get the lead

This sample is a reading aid, not a safety policy. Use the camp's approved emergency plan, training, medical procedure, supervision ratios, and release records.
  • A child is missing from the expected group count.
  • An adult asks for a pickup change not shown in the authorized process.
  • Weather, an injury, or a site condition changes the approved plan.
  • You cannot maintain the supervision arrangement given at the brief.

Who handles what

On-site leadGroup changes, site decisions, missing-person response, or an unclear boundary.
Health leadInjury, illness, medication questions, or the approved health procedure.
Check-in leadArrival list, pickup authorization, and release-process questions.

Add the current names and contact method only in the camp's approved staff copy.

Give the next counselor a usable handoff

  1. State the group and the point in the schedule.
  2. Give the current count using the camp's approved record.
  3. Name any plan change already confirmed by the lead.
  4. Identify an unresolved issue and the lead who has it.
  5. Wait for the next counselor to confirm the handoff.
Example wording: “Group Maple is at lunch transition. The count matches the approved roster. The on-site lead moved the next activity indoors. No unresolved issue.”
