ChatGPT SWOT analysis: classify evidence before filling four boxes

ChatGPT calls “launch evening classes” an opportunity, but that is your proposed action. Ask it what external condition makes the action worth considering and what evidence supports that condition. Keep internal strengths and weaknesses separate from external opportunities and threats, with proposals in their own list.

A useful SWOT draft lets you challenge the evidence behind each entry. Four equally full boxes are unnecessary. An empty or uncertain category is preferable to an invented market claim.

Set the business question before supplying the notes

This original fictional repair studio is considering an evening service slot. The question is whether its current capabilities and external conditions justify investigating that option. It is not yet choosing opening hours or forecasting sales.

Note Supplied evidence Initial treatment
N1 Two staff members are trained to service the specified equipment Potential internal strength for this scope
N2 The current rota has no agreed evening coverage Internal weakness or constraint to resolve
N3 A nearby venue has announced later weekday opening External change; relevance to studio demand untested
N4 The studio depends on one supplier for a required component Internal dependency; disruption is a separate possible threat scenario
N5 Owner's idea: launch an evening service slot Proposed action, outside the evidence quadrants

N3 does not show that the venue's visitors need repairs. It supplies a reason to investigate a possible opportunity, with a clear evidence gap. N1 also needs its scope: two trained staff do not establish that either is available in the evening.

Check the reason for each category

Business Queensland's SWOT guidance distinguishes internal factors from external factors and cautions that SWOT does not itself prioritize issues or provide solutions. This guide uses that distinction for an original evidence-review exercise; it does not adopt a universal scoring scheme.

For N4, keep the present supplier dependency in the internal assessment. If a separate source reports an external supply interruption, that could support a threat entry. Do not manufacture that interruption merely to fill the threat box.

The same fact may affect several decisions, but copying it across quadrants without explaining why makes the analysis difficult to act on. Name the condition and how it relates to the studio's stated question.

Ask for a draft that can leave gaps

OpenAI's prompting guidance, checked October 24, 2026, supports supplying context and the result you need. Here, the useful result is an evidence-linked classification and a short list of questions.

Prepare a SWOT discussion draft for a repair studio considering whether
to investigate an evening service slot. Use these fictional notes only.
N1: two staff are trained for the specified equipment.
N2: no evening rota coverage has been agreed.
N3: a nearby venue announced later weekday opening.
N4: one supplier provides a required component.
N5: owner proposes launching an evening service slot.

Classify supported internal strengths/weaknesses and external
opportunities/threats. Explain each classification and retain its note
ID. Separate current facts, tentative interpretations, and proposed
actions. Put N5 in a separate proposal list. Keep uncertain categories
or unsupported external claims visible instead of filling every box.

For N3, do not infer repair demand, customer overlap, or revenue.
For N1, do not infer evening availability. For N4, distinguish current
dependency from a hypothetical supply interruption.
Return the short SWOT draft, missing-evidence questions, and proposed
next checks. Do not invent competitor data, scores, survey results,
staff agreement, forecasts, or a final launch recommendation.

Convert a promising entry into a question someone can answer

For the studio, a useful next question is whether people visiting the nearby venue have the relevant repair need and would use an evening slot. That requires actual research; “more foot traffic means more customers” skips the connection between the two businesses.

The market-research guide explains why an observed offer or announcement cannot establish customer demand. Use that distinction before turning N3 into a revenue assumption.

Separately, confirm whether evening coverage can be arranged and what the component dependency means for the proposed service. These checks concern different parts of the decision; resolving one does not resolve the others.

Bring the short SWOT and its open questions to the people responsible for staffing, service delivery, and research. Record which checks they agree to perform. Choose an action after reviewing the resulting evidence and practical constraints, with the original notes still available beside the draft.
