Photography Quote Template: Requote the Extra Hour Without Inventing Extra Images

The client asks the photographer to stay an extra hour. Does that mean more edited images, a later delivery date, or only longer coverage?

State each change separately before revising the quote. Multiplying hours cannot settle the image count or the delivery commitment.

Use an event scope, a deliverable scope and itemized pricing that a reviewer can compare with the original proposal. Keep the quote proposed until the actual booking process establishes otherwise.

An original workshop proposal

Fictional community workshop: October 20, 2026, 14:00–16:00 UTC. The proposal uses one photographer at one venue. Rates below are illustrative US-dollar amounts, not market prices or a recommendation for your business.

Scope field Original proposal
Coverage Two hours, 14:00–16:00 UTC
People and place One photographer; one workshop venue
Shot priorities Group welcome, materials table, group activity
Deliverables 30 edited JPEG images
Proposed delivery deadline October 27, 2026; capacity to reconfirm
Status Preparation proposal; not booked or completed

The shot priorities are original descriptions, not supplied photographs or guaranteed portfolio examples. Confirm the workshop's actual sequence and venue access before deciding how to cover those moments. “Group activity” should identify the requested activity in the maintained brief rather than promise every possible image.

Bonsai's photography-quote guide distinguishes coverage hours, photographer count, locations, editing, final-image format/count and access notes. This example adopts that separation of fields. It does not adopt the source's rate examples, booking policies or licensing clauses.

Price the known services

The original illustrative pricing is:

  • Coverage: 2 hours × $90 per hour = $180.
  • Fixed editing/delivery service: $60 for the stated 30-image proposal.
  • Known service subtotal: $180 + $60 = $240.

Keep any fees, taxes and approved booking policies to confirm when not supplied. The $240 is the known service subtotal, not a final amount with every possible charge settled. Do not insert a zero tax or a stock deposit requirement to make the preparation copy look finished.

Compare the requested extension

The client's fictional request is coverage until 17:00 UTC on October 20. Starting at 14:00, that is three hours.

Field Original Requested variation
Coverage 14:00–16:00; two hours 14:00–17:00; three hours
Coverage line 2 × $90 = $180 3 × $90 = $270
Fixed editing/delivery line $60 $60 under the unchanged proposal
Known service subtotal $240 $330
Edited JPEG count 30 30 unless explicitly requoted
Delivery proposal October 27 October 27, subject to capacity reconfirmation

The known subtotal increases by $90. The extra hour does not create fifteen additional edited images. Coverage rises by a factor of 1.5, but the independently stated image count remains 30; it does not become 45 by multiplication.

If the client wants more edited images or different editing, add a separate requested deliverable change and price it from supplied inputs. Reconfirm the delivery capacity and deadline rather than treating October 27 as a guaranteed consequence of the hourly calculation.

Leave unresolved scope visible

Before declaring the quote ready to send, confirm the actual venue/contact, access arrangements, permitted image uses, required permissions or consents, delivery arrangements and authorized business policies. Obtain applicable fees and tax treatment from the responsible business inputs. This template does not determine rights or supply legal clauses.

Mark each field as confirmed, proposed or to confirm. Keep the original scope beside the requested variation until the provider has reviewed what can be offered. A changed number in a comparison view does not reserve the photographer, obtain permission or accept the job.

Maintain the approved quote in the requested PDF, Word document, workbook or business workflow. The local HTML comparison highlights changed hours and subtotal while leaving the count and deadline status visible. No actual photographs, booking, payment or delivery are produced by that review.

Copy a coverage-change quote brief

Draft a photography quote in US English in the required native format.

Project, actual venue/contact, date and coverage timestamps/timezone: [enter]
Photographer count and named shot priorities: [enter]
Edited image count, format, editing scope and proposed delivery date: [enter]
Supplied hourly rates, fixed services and authorized additional charges: [paste]
Client's requested changes: [paste]
Access, permissions, usage terms and booking policies: [paste or TO CONFIRM]

Separate coverage time, image deliverables and delivery commitment. Show the
original and requested scopes with checked quantity/rate calculations. Extra
hours must not automatically increase image count or guarantee a deadline.
Reconfirm capacity; price changed deliverables only from supplied inputs.
Label known service subtotal separately from unresolved fees/taxes. Keep the
quote proposed, not booked. Do not invent licensing, consents or business terms.

Return the itemized proposal, scope-change comparison and unresolved-input
checklist. If requested, specify a sanitized HTML scope/calculation review copy.
No accept, book, pay, send or saved-edit controls; no actual photo production.

Review the extra hour beside the unchanged 30-image deliverable before approving the revised quote for sending. NOS can save and display a sanitized HTML scope-and-calculation review copy for that comparison. Keep the maintained quote in the required business format, and settle delivery capacity and unresolved permissions through the authorized workflow before treating the proposal as ready.
