Printing Quotation Template: Confirm Whether the Page Count Includes the Cover

The revised artwork says “20 pages.” Your original printing quote priced 16 pages including the cover. Before adjusting the price, you need to know whether the new count also includes it.

A printing quotation template should bind the finished-copy quantity, page/cover specification, artwork version, and provider's price basis together. Otherwise an apparently small revision can leave the quote describing a different job from the file sent for review.

This original fictional P01 example requests 100 finished workshop booklets from artwork F01 v1. It uses supplied illustrative pricing; it is not an actual order, a print-ready assessment, or a printer's verified rate.

Write the specification beside the artwork reference

Specification P01 original example
Job Workshop booklet
Finished-copy quantity 100 booklets
Artwork F01 v1
Total pages per booklet 16, including four cover pages
Interior pages 12
Cover pages 4
Finished size 5.5 × 8.5 inches
Paper, ink, binding TO CONFIRM with provider
Proof requirements and actual approval TO CONFIRM; no approval supplied
Delivery and actual date TO CONFIRM

The arithmetic is 12 interior + 4 cover = 16 pages per finished booklet. Keep “including cover” next to the total, rather than assuming the provider will interpret the count the same way.

San José State University's printing quote sheet includes quantity, pages, paper, finished size, inks, bindery, proof, artwork, and delivery fields. Those categories help identify the job. The explicit cover split, version ledger, and prices here are original examples; the university form does not supply them. SJSU, Specifications for Printing Quote Sheet.

Ask the actual provider for its file, paper, ink, binding, and proof requirements. Do not impose a universal bleed, resolution, color, or press specification just to make the sheet look complete. A finished size alone does not establish that F01 v1 is ready to print.

Quote finished booklets in the supplied pricing units

Illustrative line Basis Amount
Printing 100 finished booklets × USD 2.50 USD 250
Separate setup Supplied illustrative fee USD 20
Known printing/setup subtotal USD 250 + USD 20 USD 270
Shipping Unconfirmed TO CONFIRM
Tax Unconfirmed TO CONFIRM
Complete final charge Not established Pending actual terms and charges

The printing line is priced per finished booklet, not per page or per paper sheet. The USD 270 reconciles the two supplied lines and excludes unknown shipping and tax. Leave those unknowns visible rather than assigning them zero.

Keep the actual provider's quote ID, revision, specification reference, included services, exclusions, and supplied commercial terms in the native DOCX/PDF record. The example does not invent payment terms, validity periods, production dates, or acceptance.

Use page instances only as a cross-check

For the original specification, 100 copies × 16 pages = 1600 page instances across the finished booklets. That helps check that the quantity and page specification were read consistently.

It does not mean 1600 paper sheets. It does not establish how pages are arranged on a press sheet, what the provider bills, or how much paper production consumes. Binding, layout, materials, and the provider's process are not supplied.

Likewise, the 400 cover-page instances and 1200 interior-page instances are counting checks: 400 + 1200 = 1600. They are not a paper purchase list or separate priced units in P01.

Hold the changed artwork for clarification and requoting

The revised artwork F01 v2 states 20 pages, but the cover basis is unknown. Keep the original P01/F01 v1 relationship in the history and open a revised-specification record.

Change field Revised example state
Original basis F01 v1, 16 including four cover pages
New artwork F01 v2
New stated count 20 pages
Cover included? Unconfirmed
Revised interior/cover split Unconfirmed
Other specs and quantity Reconfirm rather than silently carry forward
Updated proof requirement Provider confirmation needed
Revised provider price Not supplied
Revised final quotation Pending clarification and requote

Do not multiply the old USD 250 printing amount by 20/16 and present it as the new price. The old quote's unit was a finished booklet against a particular specification; a page-count ratio is not a supplied pricing rule.

Ask the provider to confirm the total-page basis, cover split, artwork version, retained or changed specifications, proof process, and revised estimate. A useful draft request is:

P01 prices 100 finished booklets against F01 v1: 16 pages including four cover pages, finished size 5.5 × 8.5 inches. F01 v2 now states 20 pages, but cover inclusion is unresolved. Please confirm the revised page/cover basis and other specifications, then provide the updated proof requirements and quotation. No revised price or proof approval is recorded.

That is original wording for adaptation, not a sent message. Actual proof acceptance must identify the precise artwork version and evidence through the provider's workflow. A revised file name or an earlier approved proof does not establish approval of F01 v2.
