The page builds an unsent call from your meeting details and presents three synthetic proposals. Recording fictional R01 changes P01 from Draft to Received. Confirming the P01/P02 duplicate relationship links both records without deleting either, while meeting-owner selection remains unrecorded.

Prepare a request people can answer
Use this original draft:
Subject: Agenda proposals for [meeting name/date — TO CONFIRM]
Hello [intended recipients — TO CONFIRM],
Please propose items for [meeting name and date — TO CONFIRM].
Submission route: [TO CONFIRM]
Deadline and time zone: [TO CONFIRM]
For each proposal, include:
• Item title and the meeting it is intended for
• Purpose: share information, seek a decision or request help
• Desired outcome or exact question for the meeting
• Requested discussion minutes
• Contact role for follow-up
• Supporting reference or pre-read
• Constraints, dependencies or information still missing
If you know another proposal addresses the same reference and decision,
identify it so the coordinator can review the relationship.
Receipt of a proposal is separate from the meeting owner's selection.
We will use the confirmed meeting process to request missing information
and record which items are selected.
Thank you,
[coordinating role — TO CONFIRM]
Before sending, replace each TO CONFIRM placeholder with your meeting’s details. Ask for a contact role so you know who can clarify the proposal. Use the submission route agreed by your organization.
Las Positas College's BoardDocs instructions distinguish saved drafts, submission and workflow history, and discuss coordination to avoid duplicates. For this example, the useful distinction is that saving a draft does not establish receipt. Submitting Agenda Items
Match proposals by reference and requested outcome
Compare these three fictional proposals:
| Proposal | Reference and ask | Evidence state | Review treatment |
|---|---|---|---|
| P01 | K07; revise project review date | Saved draft; no receipt | Draft, not received |
| P02 | K07; same requested date-review decision | Candidate duplicate of P01 | Hold linked for coordinator confirmation; retain the proposal |
| P03 | K08; similar title wording but a different task | Fictional receipt R03; minutes and pre-read missing | Separate item; information needed |
P01 and P02 may concern the same decision because both the reference and ask match. The coordinator must confirm that relationship. A title match alone is insufficient.
P03's similar wording does not make K08 the same matter as K07. Keep it separate. Its missing minutes and pre-read call for clarification, not automatic rejection or an invented time slot.
Trace receipt separately from selection
Press Add fictional receipt R01 to show P01 as received. Its message also notes the earlier draft. R01 does not establish that the meeting owner selected P01, assigned a slot or published an agenda.
Press Confirm P01/P02 duplicate scenario to link P02 to P01 while keeping both references visible. This duplicate coordination decision is distinct from choosing P01 for the agenda.
After clarifying P03, the meeting owner can decide whether it belongs on the agenda and how much time it needs. The page does not make that decision. R01 demonstrates receipt only, while the duplicate button demonstrates how the coordinator would relate P02 to P01.
Use the local draft builder
Enter the meeting name and date, submission route, and deadline with timezone. Press Build unsent request to produce text you can review. Missing details remain TO CONFIRM, so the message does not inherit another meeting’s deadline. Copy the draft into your normal correspondence tool only after confirming those details and the intended recipients.
The intake buttons operate on explicitly fictional evidence. Add R01 only to illustrate receipt; confirm the duplicate relationship only after comparing K07 and the requested date-review decision. P03 stays separate under K08 and still needs requested minutes and its pre-read. A receipt does not allocate discussion time. When the owner chooses an item, add that decision and its discussion time to the real agenda.
Copy this prompt
Build an agenda preparation page that helps a coordinator write a call for proposals and compare three sample submissions. Place a short request builder beside a readable draft. Below it, show the proposal cards and two scenario buttons.
The builder has labeled fields for meeting name and date, submission route, and deadline including time zone. Build unsent request creates a subject and message using those values. Leave missing values as TO CONFIRM. Ask contributors for an item title, intended meeting, purpose such as sharing information or seeking a decision, desired outcome or exact question, requested minutes, follow-up contact role, supporting reference or pre-read, and relevant constraints. Also ask them to identify proposals about the same reference and decision. Changing a field should clear the old draft and request a fresh build.
Use these sample proposals. P01 concerns K07 and asks to revise the project review date; it begins as a draft without a receipt. P02 has the same reference and requested decision, so it is a candidate duplicate. P03 concerns K08 and a different task; it has receipt R03 but lacks requested minutes and a pre-read.
Add fictional receipt R01 changes P01 to received. Confirm P01/P02 duplicate scenario links P02 to P01 while retaining both proposal references. Neither action selects an agenda item. Keep the meeting-owner selection, slot and agenda version visibly unrecorded. Reset clears the builder and restores the sample cards.
Return one complete HTML file with embedded styling and JavaScript. Use comfortable text spacing, stacked cards on narrow screens and click-driven buttons. The generated request remains a draft for the coordinator to review.
Clarify P03 before allocating time
Build the request with your meeting’s route and deadline, then read it as a contributor: would you know which decision to describe and what to attach? NOS can render the HTML request builder and sample proposals for a coordinator walkthrough. Use P03 to rehearse asking for the missing minutes and pre-read before the meeting owner assigns a slot.
