Use ChatGPT for a work budget that includes the unpaid commitments

Give ChatGPT the approved spending cap, payments already made, outstanding commitments, and still-unapproved estimates as separate records. Ask for a forecast with source IDs before asking how to cut it. “Cash left” can overstate what is available when a supplier is still owed money.

This workflow prepares a small project or event budget for an owner to review. It does not choose investments or make a personal financial plan. ChatGPT can analyze supplied records and prepare a reviewable spreadsheet or document; available tools depend on your account and workspace. OpenAI's ChatGPT guide, checked October 24, 2026.

Decide what each amount represents

For each item, record its ID, scope, amount, currency, source, and state. Distinguish the amount paid from the full committed cost. Keep alternative quotes linked to the same item so they are not added together as separate purchases.

Use one reporting date. A newer payment record may settle part of an older contract without replacing its total value. If an invoice and a purchase order refer to the same work, ask ChatGPT to match them rather than sum them.

Follow the difference between cash and forecast

Here is an original fictional workshop budget in USD. The owner has set a $2,000 cap. The figures are illustrative records, not supplier quotes obtained in this task.

Item Evidence at the reporting date Included forecast
Room $800 contract; $200 deposit paid against it $800 total, with $600 still due
Catering Accepted $500 quote; not yet paid $500
Printing $150 paid; no remaining obligation $150
Materials Unapproved estimate of $250 $250 provisional

Payments so far total $350. The cap minus those payments is $1,650, but that is not uncommitted headroom.

The forecast is $1,700: $800 + $500 + $150 + $250. That leaves $300 against the cap, conditional on the materials estimate being sufficient. The $200 room deposit is part of the $800 contract; counting it again would raise the forecast incorrectly to $1,900.

Keep the $250 materials estimate visible as provisional. An empty actual-spend field does not make its likely future cost zero.

Reconcile each item before adding totals. Match payments to the
commitment they settle; do not add a deposit on top of its full
contract. Do not sum competing quotes for one purchase. Flag an
unclear match instead of guessing.

Show paid to date, remaining committed payments, provisional costs,
total forecast and headroom against the cap. Cite source IDs for
each amount. Keep unknown costs visible and explain which totals
are incomplete. Do not invent tax, discounts or a contingency rate.

Then compare only the scope alternatives I provide below. Show the
cost change and the work or service removed. Do not approve changes,
cancel an order, contact a supplier, or make a purchase.
Allowed alternatives: [PASTE OR NONE]

Compare the result with the records yourself. For the example, the remaining committed payments are $1,100: $600 for the room plus $500 for catering. Adding that to $350 paid and $250 provisional gives the same $1,700 forecast.

Compare a change without hiding its consequence

Suppose the materials estimate rises from $250 to $650. The revised forecast becomes $2,100, which is $100 above the cap. A supported alternative could be a revised $400 catering quote that the supplier and owner have agreed replaces the earlier $500 commitment, with a reduced menu. Once that replacement is documented, the comparison returns to $2,000. Keep the reduced service and the superseded quote visible; the owner's wish to save $100 is not itself a changed supplier agreement.

Do not ask ChatGPT to make the numbers fit by silently lowering the quote or deleting an unpaid item. Bring the options to the person authorized to change the scope. If a cost remains unknown, show that uncertainty beside the total instead of declaring the budget balanced.

An expense tracker records transactions; this forecast also accounts for obligations and expected work that have not yet become payments. Keep the approved budget and later actuals in the team's maintained spreadsheet or finance system. After the owner chooses an option, update its source record and recalculate from that decision.
