This workflow is for a proposal responding to a supplied request. If you are still designing the service offer itself, the business proposal template covers matching scope and price. Here, the first job is making sure the response addresses what this particular client asked for.
Extract the request without filling its gaps
Use a copy of the current request and any authorized clarification. Label their versions and explain which takes precedence. Do not assume a newer email replaces every instruction in the original request.
The original fictional request below concerns cataloging a small archive. Its requirements and supplier facts are authored teaching material, not a real solicitation or observed ChatGPT output.
| Request ID | Client requirement | Supplier material available |
|---|---|---|
| Q1 | Describe the cataloging approach and review checkpoints. | A draft method note exists. |
| Q2 | Give two examples of comparable completed work. | One approved case study is available; a second is not supplied. |
| Q3 | Supply a proposed schedule starting after access to the archive. | Access date has not been confirmed. |
| Q4 | Submit one PDF, no more than six pages. | Working notes are in a document editor. |
The gap in Q2 belongs in the preparation list. An invented second client, an unattributed team project, or an unfinished job described as completed would not answer the requirement honestly. Ask the proposal owner whether another approved example exists and how to proceed if it does not.
Make the response map before the first draft
Ask ChatGPT for one row per requested item: requirement ID, exact wording, planned response section, supplied evidence, and unresolved question. Keep mandatory instructions separate from optional background. If the request's own wording does not establish whether an item is mandatory, flag that question.
In federal procurement, FAR 15.203 describes requests for proposals as communicating requirements, anticipated terms, required proposal information, and evaluation factors. That federal rule does not govern this fictional archive request. It illustrates why the actual request, including its response instructions, needs to drive the draft.
For Q3, an appropriate proposed schedule can use relative milestones: a first review a stated number of days after confirmed access, if the supplier supplies that estimate. ChatGPT should not invent the estimate or turn the unconfirmed access date into a calendar commitment.
Copy a request-to-response prompt
OpenAI's prompting guidance, checked October 24, 2026, supports giving a task its sources, intended output, and boundaries. Apply those boundaries to the evidence and submission instructions:
Help prepare a business proposal responding to this client request.
Request version and approved clarifications: [PASTE WITH IDS]
Source precedence, if established: [ENTER OR UNKNOWN]
Our approved capabilities, case studies, estimates and availability:
[PASTE, DISTINGUISH COMPLETED WORK FROM PROPOSED WORK]
Required submission format, length and deadline: [PASTE]
First return a requirement-to-response map. Preserve each requirement's
exact wording and source location. Show proposed response section,
available supporting material, and missing information. Separate
mandatory instructions from optional items only where the request
supports that distinction. Do not draft missing credentials or examples.
After I resolve gaps and approve the map, draft the response in the
client's requested structure. Keep proposed dates conditional on the
supplied dependencies. Do not invent experience, results, costs or
acceptance. End with unresolved items and a submission-format check.
Prepare a draft only; do not send, upload or publish it.
Check the actual submission copy
After drafting, read the response against Q1 through Q4. Q2 remains unresolved until the proposal owner supplies or addresses the missing example. The draft method note can support Q1; it cannot also count as evidence of completed work.
Export the approved response to the requested PDF and inspect all six pages or fewer. Confirm the response sections survived export, the text is readable, and the file contains only approved case-study material. Keep the response map with the working records. Submit through the client's required process after the owner has resolved the outstanding requirement, rather than letting a polished draft hide it.
