Use approved excerpts in a regular conversation if that suits your workflow. A pasted page URL does not establish that ChatGPT can read the page, and this method does not require a connector or permission to publish.
Label the version behind each instruction
In this original fictional example, a service team is revising its equipment-request instructions:
| Material | Supplied instruction | Status for this exercise |
|---|---|---|
| Page version 8 | Email the coordinator to request equipment. | Historical, superseded |
| Page version 12 | Submit an equipment ticket; the coordinator assigns stock after review. | Current published procedure |
| Editor's request | Add an FAQ explaining where to find the ticket category. | Proposed change only |
The requested FAQ should explain the category location without restoring email as an alternative request route. Neither version supplies an urgent-request exception. If staff need one, ask the procedure owner rather than letting the model invent it.
Confluence Cloud's technical-documentation guidance, checked October 24, 2026, describes page history and comparing versions. Use that history to inspect what changed. Publication metadata establishes a page revision; it does not by itself prove that a business owner approved the instruction.
Request a patch with a source for each changed instruction
Draft a limited update to this Confluence procedure. Do not publish.
Page identifier and current published version/date: [ENTER]
Current excerpt, preserving headings: [PASTE]
Historical excerpts, labeled version and superseded status: [PASTE]
Requested change and its approved source: [ENTER]
Procedure owner and actual approval status: [ENTER OR UNKNOWN]
Return the current sentence, proposed replacement/addition, reason,
and supporting supplied source. Preserve current instructions outside
the request. Do not revive a historical route, infer approval from a
publication date, or invent exceptions. Flag conflicts for the owner.
If the category location is missing, use a visible confirmation gap
in the preparation draft rather than fabricating a navigation path.
OpenAI's prompting documentation supports giving the relevant context and explicit boundaries. Here, “current” and “historical” are essential context, not labels to remove when shortening the prompt.
Review the paragraph that could change behavior
An acceptable authored preparation draft is: “Submit an equipment ticket. Choose [CONFIRM CATEGORY PATH] so it reaches the equipment coordinator.” The visible gap must be resolved from the maintained service portal before publication.
A draft saying “Email the coordinator or submit a ticket” fails even if it sounds helpful. It adds an alternate route excluded by the supplied current procedure. A draft promising immediate assignment also fails: the current text requires coordinator review and supplies no turnaround promise.
Read the full surrounding section after inserting the proposed FAQ. Check for an old email instruction in a note, example or related-page link; a correct replacement sentence cannot resolve a contradictory paragraph elsewhere. Comparing documents with ChatGPT can help organize those differences, while the procedure owner resolves policy conflicts.
Publish the accepted revision through the normal review route
Have the owner confirm the category path and intended request route. The authorized editor can then apply the accepted change in Confluence. Inspect the published page and its version history, and retain the approval reference separately from the publication event.
If someone edits the page while your draft is being reviewed, compare the new current version before applying your patch. Finish with one maintained instruction that staff can follow and a traceable reason for changing it.
