Read financial statements with ChatGPT without confusing profit and cash

Give ChatGPT the report's entity, dates, units and actual statement pages, then ask it to explain the figures with a source location for each one. Read the income statement and cash flow statement together before accepting a claim that a profitable business generated cash.

Start with a narrow question such as “Why did cash fall during this profitable quarter?” A summary of every page can bury the exact reconciliation you need to understand.

Identify what each number measures

The SEC's educational guide to financial statements distinguishes a balance sheet at a point in time from income and cash flow over a period. It also explains that cash flow includes operating, investing and financing activity. Check the accompanying notes for context. Accessed October 24, 2026.

Before supplying extracts, label them with the exact entity, consolidated or subsidiary scope, reporting period, currency and scale. “USD thousands” changes the meaning of every displayed amount. Keep comparative columns identified; do not let a prior-year value become a current-year value during copying.

Use permitted report material in your approved ChatGPT account. OpenAI's current ChatGPT instructions emphasize reviewing important details before using a result. A table that looks orderly still needs checking against the original pages.

Follow a small profit-to-cash example

These are original fictional report extracts in thousands of dollars. They are a learning case, not a real company's results or a model run. Assume there are no other operating adjustments, investing cash flows, financing cash flows or exchange effects.

Report item Amount Meaning in this case
Income statement: revenue 100 Revenue recognized for the period
Income statement: expenses 80 Expenses recognized for the period
Income statement: net income 20 100 minus 80
Operating reconciliation: increase in receivables 35 Subtract 35 from net income in this simplified reconciliation
Cash flow statement: operating cash flow -15 20 minus 35
Opening cash 50 Cash at the beginning
Closing cash 35 50 minus 15

The business reports $20,000 of profit and uses $15,000 of cash in operations. An increase in receivables helps explain the difference: recognized revenue has not all arrived as cash. It does not, by itself, establish that customers will default or that the business is insolvent.

The important reading move is to locate the supplied $35,000 adjustment, not to invent an explanation for it. If a real report has several adjustments, include all of them before claiming the reconciliation is complete.

First identify which amounts are period flows and which are
balances at a date. Preserve units, column labels and negative signs.
Explain the answer using a table of amount, source page/row,
calculation and interpretation. Reconcile the reported figures
using only supplied items. If an adjustment or note is missing,
show the unresolved gap rather than inventing it.
Separate report facts from possible explanations requiring more
evidence. Do not infer an investment recommendation, audit opinion
or company valuation from these extracts.

Open every source page named in the answer. Check whether the value belongs to the right column and whether the model has treated parentheses as a negative amount. Recalculate the result in a calculator or spreadsheet.

Ask what the report leaves unresolved

For the fictional case, a sensible next question is what the receivables note says about collection timing. “Cash fell because customers never pay” exceeds the evidence. Likewise, a positive closing cash balance does not establish that every later obligation can be met.

If you compare periods, inspect changed definitions, acquisitions, restatements and note references before treating two similar labels as identical. When the source is incomplete, ask for the missing report section rather than a stronger conclusion.

Keep the checked explanation beside the source report. Transaction effects help explain how records originate; a work budget forecasts planned costs. This reading task ends with a supported explanation and a precise question for the report owner, rather than a decision to buy, lend or invest.
