Connect the account that holds the work
Open Plugins or Apps in ChatGPT, find Google Drive, and start its connection flow. Sign in to the intended Google account, read the requested permissions, and complete authorization. In a managed organization, approval may involve both your ChatGPT administrator and your Google Workspace administrator. Connection and permissions
Before authorizing access, open the intended file directly in Drive with that Google account. This separates a file-access problem from a ChatGPT connection problem. A personal account cannot supply a work document that only your organization's account can read.
Use a document you are allowed to process with your organization's AI tools. For a travel-policy question, you need the policy; you do not need employees' expense receipts or personal itineraries.
Ask for the source before the answer
Suppose an employee needs the hotel reimbursement rule for a fictional company trip. Drive contains both “Travel policy 2025” and “Travel policy 2026 approved.” Those titles are illustrative inputs, not files retrieved in a live ChatGPT session.
Start narrowly:
Use my connected Google Drive to find "Travel policy 2026 approved"
in [FOLDER OR TEAM CONTEXT]. Do not use "Travel policy 2025."
First identify the matching document, its link, and any effective
date stated inside it. If more than one file matches, list the
candidates and ask me which to use. Do not choose by title alone.
Read the hotel reimbursement section. State the reimbursement rule,
exceptions, and approval requirement with the supporting heading
and a short quotation. If you can find the filename but cannot read
the contents, say so. Do not fill gaps from general travel advice.
Read only. Do not edit or change sharing permissions on any file.
Open the returned link. Compare its heading and effective date with the document your team considers authoritative. The newest-looking filename may be an unapproved draft; the text inside the document matters too.
Then check the condition attached to the rule. In a fictional policy, “Up to $180 per night with manager approval for higher local rates” has two parts. A summary that drops the approval condition can lead an employee to book on the wrong assumption.
A filename is not proof that the contents were read
OpenAI explicitly distinguishes finding file details from retrieving its contents. If ChatGPT returns a title without the policy text, verify direct Drive access and try a fresh request for the specific file. Managed-workspace restrictions may also exclude a file. Use a targeted correction when an answer relies on the old policy:
That citation opens the 2025 policy. Do not reuse its reimbursement
amount. Find the approved 2026 document I named, or report that you
cannot access it. Show the supporting passage before revising the answer.
Do not solve an authorization error by publishing the policy. Record the error and ask the appropriate administrator to check the connection's permissions. If you only need to analyze one permitted downloaded copy, ChatGPT file upload covers that separate route.
Review or remove the connection
Under Settings > Plugins, open the relevant app or plugin and inspect Connected accounts or Connection, depending on the interface. Use Disconnect for the account you want to remove. Disconnection stops future access through that account; it does not automatically delete saved conversations, files, or memories. Manage connected app accounts
Keep the policy in Drive as the maintained source. Send the checked answer with its document link and effective date, so a colleague can verify the rule before making a booking.
