ChatGPT grant writing: check what the proposed work can actually demonstrate

“Three repair workshops will cut neighborhood waste by 30%” sounds concrete, but the plan only records attendance. Ask ChatGPT to separate the planned activities, their immediate outputs, and the outcome evidence the proposal would need. Revise the promise before polishing the application.

Begin with the actual funding instructions and the organization's rules for AI use. Check whether the funder permits the intended assistance and requires disclosure. Use only material approved for the account you use; a drafting prompt does not establish permission to supply an unpublished proposal or private participant information.

Separate delivery from change

The following original fictional community-project concept is a writing exercise. No funder, award, community statistic, or completed program is being represented.

Concept note What the note supports What remains unsupported
Run three repair-orientation sessions. A proposed activity and a planned output of three delivered sessions. Actual delivery or attendance.
Practice identifying a repairable item and the next safe referral route. A proposed learner task. Evidence that participants can complete it, until a suitable check is designed and used.
Keep an attendance sheet. A possible count of attendances; unique people need a separate counting rule. Household waste reduction or sustained behavior change.
Cut neighborhood waste by 30%. A proposed ambition. Baseline, population, waste measure, follow-up period, comparison or evidence supporting this target.

Attendance and a skill demonstration answer different questions. Neither measures neighborhood waste. Do not ask ChatGPT to make a stronger causal claim merely because the application requests impact.

HRSA's application-preparation guidance distinguishes need, proposed response, resources, and a realistic budget. Its instructions apply to HRSA applications; the particular funding notice controls an actual HRSA submission. For another funder, use that funder's own criteria and permitted evaluation approach.

Repair the claim before expanding the narrative

An unsupported draft line for the fixture is:

Our three workshops will reduce neighborhood waste by 30% and make residents confident repairers.

An authored revision with a narrower promise is:

We propose three repair-orientation sessions with practice identifying a repairable item and the appropriate referral route. We will record sessions delivered and attendance. The program team still needs to confirm a suitable participant demonstration and how its results will be recorded. This plan does not yet include a measure of household waste reduction.

The revision is a planning draft, not ready application text. The team must decide whether that narrower project meets the funder's purpose. If the funding opportunity requires evidence of waste reduction, changing the sentence cannot substitute for a viable measurement plan or a different project design.

Copy a project-logic review prompt

Review the logic of this grant concept before drafting the narrative.
Funding notice, criteria, format and AI-use/disclosure rules: [PASTE]
Approved need evidence with citations and limits: [PASTE]
Proposed activities, resources, timeline and cost basis: [PASTE]
Planned outputs, intended outcomes and proposed measures: [PASTE]
Baseline, target rationale, population and follow-up, if known: [PASTE]

Separate each activity, delivered output and intended outcome.
For every outcome claim, identify the supplied evidence or measure
that could support it and what is missing. Distinguish attendance,
observed task performance, self-report and later behavior where relevant.
Do not invent baselines, targets, community needs, partners, results,
approval, evaluation validity or causal effects.
Propose narrower wording and questions for the program/evaluation
owners. Identify where narrower wording may no longer satisfy the
funder's aim. Do not fill gaps with aspirational claims presented as facts.
Prepare review notes only; do not submit or contact the funder.

A useful result might ask who will design the demonstration, when it happens, what a successful attempt means, and whether the project has permission and resources to record it. Those are decisions for the responsible people. Treat a suggested measure as a proposal until they approve its suitability.

Reconcile the approved plan with the application

After the owners resolve the measurement questions, check that the proposed work, schedule, costs, and outcome wording describe the same project. If follow-up is added, account for the time and resources it requires. Do not leave an expanded evaluation promise attached to the old delivery-only budget.

The grant-proposal template helps map the actual application questions, narrative, budget, and attachments. Bring the approved project logic into that application structure, keeping required forms and evidence separate from drafting notes.

For the repair concept, the next decision is whether a bounded orientation project fits the opportunity or whether a larger evaluation is required. Resolve that with the program owner before replacing the planning gaps with finished prose.
