A photographed notice can look readable while one handwritten correction remains ambiguous. Keeping that uncertainty in the transcription helps you decide what to confirm with the author.
Attach a readable source and name the task
In the web composer, you can attach, paste, or drag an image into the conversation. State what part of it matters and the output you want. OpenAI documents image inputs for inspecting visual references and recommends explaining the task alongside the image. ChatGPT image-input documentation
Use the clearest available copy. Rotate a sideways photo, include the edges of the text block, and crop irrelevant surroundings without removing headings or notes that explain the text. If several images belong to one document, label their order in your message.
For your first pass, ask only for transcription. Translation, cleanup, and summary can come after you have a reliable copy of the visible words.
Transcribe the text in the attached notice as literally as possible.
Preserve the reading order, headings, dates, and list items.
Use [unreadable] for text you cannot read. If a character has two
plausible readings, show both in an uncertainty note; do not choose
one based on what seems likely.
Return:
1. The transcription.
2. Uncertain words or characters with their location in the image.
Do not summarize, translate, correct spelling, or add missing text.
Separate visible text from an interpretation
Consider this fictional notice, shown here as a text fixture rather than a claimed ChatGPT result:
ROOM B: EQUIPMENT CHECK
Tuesday, October 27
Bring cart 108.
Start time: [handwritten correction is unclear]
The room, date, and cart number can be recorded if the source clearly shows them. The start time still needs confirmation. A plausible time inferred from another notice would change the source.
Ask for uncertain locations in a form you can find again: “last line, after Start time” is more useful than “some text was blurry.” Reopen the image at that location. If the character remains unclear to you, ask the notice's author or obtain a better photograph.
For tables, inspect whether each value stayed with its row and column. A transcription can contain every number and still put a total beside the wrong label. Request a plain-text table if preserving those relationships matters.
Check the characters that carry the meaning
Read names and identifiers character by character against the original. In a parts list, O and 0 may identify different items; in an invitation, a missing minus sign or a changed date can send someone to the wrong place or time.
When the image is crowded, make a second crop of the uncertain area and attach it with enough surrounding text to identify its position. Ask ChatGPT to revisit only those characters. A second confident answer is still a proposed reading until the source supports it.
Keep the original alongside your working text. For a document that needs an exact record, preserve spelling mistakes in the transcription and put corrections in a separate edited version.
Clean up the checked text in a second request
Once you have resolved or visibly retained the uncertainties, tell ChatGPT what transformation you need. For the notice, that might be a short message to colleagues:
Turn the checked transcription below into an internal message.
Keep the room, date, and cart identifier unchanged.
The start time is unconfirmed: say it will be confirmed separately.
Do not add a time or invent a contact person.
Checked transcription:
[paste the verified text and any remaining uncertainty markers]
Now the message can be concise without silently repairing the evidence. If you need to attach a document rather than work from a picture, the ChatGPT file-upload guide covers that separate workflow.
Before sending the final text, search it for unresolved markers and compare its names, dates, and numbers with the source one last time. Leave an unconfirmed detail visibly open until someone can confirm it.
