ChatGPT for project management: turn scattered notes into a plan people can confirm

The brief says a workshop needs a rehearsal before registration opens. A meeting note says “open registration Tuesday,” but nobody recorded a rehearsal date or an owner. Ask ChatGPT to expose those gaps before it builds a confident-looking schedule. The useful first result is a draft work list linked to source notes, with decisions and proposed assignments clearly separated.

ChatGPT can help organize a brief, compare updates, and draft questions for the team. Keep the team's maintained tracker as the working record. A generated plan does not confirm another person's availability or change an agreed deadline.

Inventory the sources before making the task list

Use a short source set for the first pass: the current brief, relevant decisions, and the latest update. Give each an ID and date. Explain which document controls if two sources disagree; if that rule is unknown, keep the conflict open.

This original fictional workshop has these notes:

Source Statement
B1: approved brief Rehearse the registration form before opening it to attendees.
N1: meeting note Proposed opening: Tuesday. No date or owner confirmed.
U1: latest update Form draft is ready for review. Rehearsal has not occurred.
N2: meeting note Lee could check confirmation emails, subject to availability.

The form draft being ready does not mean the rehearsal is complete. Lee being suggested does not mean Lee accepted the task. “Tuesday” also needs a calendar date and time zone before it can be a deadline.

OpenAI's project-coordination use case connects source materials, milestones, owners, and unresolved decisions. The method below uses a small text-only example; it requires no connected account or newly created hub.

Ask for tasks, decisions, and questions separately

An appropriate draft task is “Rehearse the registration form and inspect the confirmation email,” with B1/U1 as its basis. Its owner and date remain unconfirmed. The opening task depends on the rehearsal, but the actual acceptance check still needs the team's decision.

A separate question is “Who will perform the rehearsal, and what result must be checked before opening?” Another is “Does Tuesday mean the upcoming date in the event's time zone?” Those questions should not become made-up task assignments.

Keep task status tied to an observation: Draft ready for review; Rehearsal not performed; Opening proposed. A single overall “80% complete” would add precision the sources do not contain.

Copy a source-to-plan prompt

Prepare a project planning draft for our next team discussion.
Project purpose and intended result: [ENTER]
Source records with IDs, dates, and approval status: [PASTE]
Known source precedence rules: [PASTE OR UNKNOWN]
Confirmed milestones and calendar/time-zone rules: [PASTE]
Actual owner acceptances and availability: [PASTE OR NOT CONFIRMED]

Return three separate lists: supported tasks, decisions required,
and missing-information questions. For each task include its source
IDs, dependency, completion evidence, and current observed status.
Use confirmed owners/dates only where supplied. Label suggestions
as proposed; leave other values unconfirmed. Preserve conflicting
notes rather than choosing the more recent one without authority.
Do not invent progress percentages, durations, agreement, budget,
or completed work. Do not assign people, modify the tracker, or send
messages. Return a concise draft the team can correct.

For the sample, inspect whether “Lee: confirmation emails” appears as confirmed. If it does, ask ChatGPT to restore the availability condition from N2. Then check the rest of the plan for the same kind of lost condition; fixing one cell does not establish that the others are accurate.

Update from decisions without erasing the earlier proposal

After the team meets, add the actual decision record. Suppose Lee accepts the rehearsal and the opening date remains undecided. Change the owner field using that new source, while keeping the date unresolved. The meeting did not resolve every missing value merely because one assignment was accepted.

Once dependencies and dates are agreed, the Gantt schedule guide can help compare timing. When a current blocker needs a sponsor decision, use the project status report for that focused update.

End the planning review by asking each proposed owner to confirm their responsibility and by recording the exact decision that permits the next task to start. Transfer those accepted changes into the team's actual tracker, retaining the source references and unresolved questions.
