If the answer describes the wrong document, bring the intended window forward before asking again. Saying “the spreadsheet” does not establish which window supplied the context.
Choose a window with a visible fact you can check
Use a harmless practice document first. In this authored example, a workshop checklist contains:
Workshop preparation
Room: [not confirmed]
Chairs: 12
Projector: awaiting a cable check
Open that document in its own window. Close unrelated material within the window and remove private content before sharing context. An appshot can include accessible text outside the visible scroll area, so hiding a paragraph below the fold is not a reliable way to exclude it. What an appshot can contain
Start Voice where it is available and make this focused request:
Take a look at this window. Tell me the checklist heading and
the chair count you can actually read. Identify the unresolved
room and projector items. If you cannot read a detail, say so.
Describe only; do not edit the document or start another task.
Compare the answer with the document. “12 chairs” is a checkable reading. “The room is booked” contradicts the placeholder. A correct guess about the chair count alone would not prove the whole document was read, so check the heading and unresolved items too.
Diagnose the missing or stale context
If ChatGPT discusses another window, select the intended document, bring it to the front and request a fresh look. If it cannot read the document, ask what it can see before giving it the answer. That separates a visibility problem from a misunderstanding of the checklist.
Check Settings > Voice, Appshots permissions and your organization's restrictions. macOS may request Screen & System Audio Recording and Accessibility permissions. Voice availability also depends on your plan, rollout and workspace. The current macOS screen-context instructions do not establish that the same controls exist on Windows or every mobile voice interface. Availability and troubleshooting
You can finish a blocked task by pasting the permitted checklist text into the chat and identifying it as pasted text. Keep that route distinct from a successful appshot; they provide different evidence about what was visible.
Check the changed document again
After you correct the room placeholder in your source document, ask for a fresh look and have ChatGPT report the new room wording. Do not infer a fresh capture from an answer that merely repeats what you just said aloud.
This example checks readable context, not automatic control of the document. For a speaking rehearsal without screen material, ChatGPT Voice covers turn-taking and correcting misheard details.
Select Stop voice chat when the discussion is finished. Keep the corrected checklist in its original working document, where the organizer will make the actual booking decisions.
