ChatGPT supports attached PDFs as source material for document work. File access and available features depend on your account and workspace. This does not promise an identical-layout translated PDF; request an editable review copy first when completeness matters. OpenAI's file workflow, checked October 24, 2026.
Inventory the content before translating
Open the original and note its viewer page count, printed page labels, headings, tables, and footnotes. A page numbered “1” after a cover may be the viewer's second page. Choose one reference convention and retain it through review.
Ask ChatGPT to identify readable sections and list any content it cannot extract. If the supplied PDF is scanned or a table is unreadable, provide a clear permitted image of the affected page where image inputs are available. Resolve unclear source text before translating it. Image-input options
Request a translation with a source map
Translate the attached [PDF FILENAME AND VERSION] from [SOURCE LANGUAGE]
into [TARGET LANGUAGE] for [AUDIENCE AND PURPOSE].
Required terminology: [PASTE GLOSSARY OR SAY NONE].
Page reference convention: [VIEWER PAGE NUMBER / PRINTED LABEL].
First list the pages/sections you can read, including tables,
captions, footnotes, and appendices. Identify missing or unreadable
content. Do not infer words from an unclear scan.
Translate the readable material in order with source page and section
references. Preserve names, numbers, units, negation, conditions,
cross-references, table row relationships, and footnote markers.
Do not summarize, add explanations inside the translation, or silently
omit repeated-looking material. Mark [SOURCE UNREADABLE] at any gap.
Return an editable bilingual review copy and a separate coverage list:
source location | translated location | complete/partial/unreadable.
List ambiguous terms and decisions needed separately.
Keep the original unchanged. Do not claim identical page layout.
For a long document, use named sections as work units and maintain the same coverage list. When the next section is ready, continue after the last completed heading. Re-translating the beginning repeatedly can obscure which later pages remain unfinished.
Check relationships inside tables and footnotes
This fictional English source and authored Spanish translation illustrate the review; they are not an uploaded PDF or observed ChatGPT output.
Source heading: “Collection options.” Source note: “*Advance booking required.”
| English source | Spanish review wording |
|---|---|
| Counter collection: Monday–Friday, 9 a.m.–4 p.m. | Recogida en mostrador: de lunes a viernes, de 9:00 a 16:00. |
| Saturday collection*: not available without confirmation. | Recogida los sábados*: no disponible sin confirmación. |
| *Advance booking required. | *Se requiere reserva previa. |
The Saturday restriction and its footnote both survive. A translation that keeps the star but drops the note is incomplete. One that says Saturday collection is generally available changes the condition. Check that the weekday hours have not moved into the Saturday row during formatting.
This exercise uses only a few lines so the comparison is visible. For your actual PDF, also inspect headings at page breaks, repeated table headers, image captions, and the last paragraph. “Translation completed” in a chat is not evidence that an appendix was included.
Review the final file in its intended format
Open the delivered document and compare it with the coverage list. Ask someone who reads the target language to check consequential instructions and ambiguous terms. When exact wording requires an authorized or certified translation, follow the receiving organization's requirements.
If you need a PDF for distribution, create it after the editable translation is reviewed. Inspect wrapping, missing characters, split table rows, footnote placement, and links in that actual PDF. OpenAI recommends checking generated files and requesting focused revisions where needed. File preview and revision
For a difficult source table, literal PDF table extraction can establish the row structure first. For a short notice, the translation guide addresses wording and tone. Finish this document task with every source section accounted for and any unresolved gap identified by page.
