State the fee base first

A 15% planning fee can mean $750 or $120 depending on its agreed base. This event planning quote template keeps the fee basis and billing responsibility visible, so an external budget or client-direct venue charge never becomes an extra billed line.

Compare EP01's known vendor and support costs under two fee agreements. The external-budget basis gives a known-line amount of $1,550; the line-subtotal basis gives $920. AV version 2 raises those amounts to $1,650 and $1,035 respectively. Required floral pricing remains outstanding in every scenario.

Write the fee agreement in a basis note

Estimatery's service-authored page distinguishes a fee based on the document's own subtotal from a separately labeled fee calculated from a larger event budget. It also discusses flat/hourly service and vendor lines. The distinction helps you identify which amount the agreed percentage actually applies to. Estimatery: Event Planning Fee Bases

For fictional EP01, the supplied fee agreement is 15% of an external agreed budget of $5,000. Its calculated planning fee is $750. The result identifies the $5,000 external budget as the basis and shows the resulting $750 fee separately.

The $5,000 is a fee-calculation basis. It is not itself a quoted expense, receipt, measured event cost or forecast. Do not add it to the quote subtotal or replace it with another number merely because that number is available.

If the real agreement does not supply the external budget, that mode cannot calculate the fee. Mark the basis unresolved; never silently use the document subtotal instead.

Separate who bills from who pays directly

Original EP01 line Scope/source Quantity and rate Amount Responsibility
AV01 AV supplier reference, version 1 1 quoted package × $600 $600 Billed through planner
SP01 Support service, fictional scope 4 hours × $50 $200 Billed through planner
PF01 Planning fee, external-budget mode 15% × $5,000 basis $750 Billed through planner
VD01 Venue reference 1 reference charge × $800 $800 Client-direct; excluded from quote total
FL01 Required floral scope Quote/quantity/rate not supplied TO CONFIRM Billing responsibility also TO CONFIRM

In your working quote, keep the service scope, supplier version, quantity, rate, and billing responsibility with each line. EP01's labels identify sample costs; confirm actual supplier terms before using a price.

The known planner-billed service/vendor subtotal is $600 + $200 = $800. The external-budget planning line adds $750, giving a known-line amount of $1,550.

The client-direct venue reference does not become a second planner-billed charge. Display it in its own section with Excluded from this quote's billed total. It is neither paid nor booked merely because the reference amount is present.

Keep the unknown required line in the result

FL01 is required but unquoted. Its empty amount is not $0, and unresolved billing responsibility is not a reason to hide it. Read the $1,550 as a known-line amount with a required quote outstanding.

The comparison cannot state a complete planner-billed amount or a complete client event spend. It only accounts for the identified priced lines and the fee model. Other real requirements and terms must come from the actual scope and agreement.

Quote date, supplier validity, taxes, payment terms, acceptance and booking remain unconfirmed.

Support charges and the planning fee round half up to cents before totaling. With AV v1, 0.01 support hours at $3.10 and the line-subtotal basis give $0.03 support, $600.03 subtotal, a $90.00 fee, and $690.03 total.

Compare the alternative without applying both

A separate hypothetical agreement could instead use 15% of the document's quote-billed vendor/support subtotal. In that mutually exclusive mode, the basis is $800 and the fee is $120. Known-line amount becomes $920.

Fictional fee mode Basis Fee at 15% Known-line amount
External agreed budget $5,000 $750 $1,550
Quote-billed vendor/support lines $800 $120 $920

The difference comes from the agreement's basis, not a calculator discovering a discount or profit. EP01's original agreement does not authorize switching to the second mode. It is a comparison sample that would require its own actual agreement.

Never apply both fees, include a planning fee in its own percentage base, or include VD01's client-direct venue in the $800 document basis. The line-based mode explicitly uses AV01 + SP01 before planning fee and before the outstanding FL01 amount is known.

With FL01 still unresolved, its later billing treatment may change that base. The table's $920 remains a known-line calculation, not an accepted final quote.

Inspect the revised supplier line

Choose AV v2 to load the supplied 700-dollar package. Support remains 4 hours × $50 = $200, so the known vendor/support subtotal becomes $900. The external-budget fee remains $750; the line-subtotal fee becomes $135. Only one fee appears in the result. The controls compare fictional scenarios without accepting a quote or booking a vendor.

Use fictional EP01. AV01 version 1 is one package costing $600. SP01 is four support hours at $50 per hour, giving $200. Their known vendor/support subtotal is $800. The initial fee agreement is 15% of an external agreed budget of $5,000, giving a $750 planning fee and $1,550 known-line amount.

Provide a separate line-subtotal mode applying 15% to the $800 subtotal, giving a $120 fee and $920 known-line amount. Round the support charge and planning fee half up to whole cents before adding them to the total. Apply exactly one fee mode. Exclude the fee from its own base. VD01 is an $800 client-direct venue reference, excluded from the billed total and fee base. Required floral line FL01 has no price or confirmed billing responsibility. Every result must remain partial.

Allow edits to support hours, hourly rate, and external budget. Clear old results after edits and provide Recalculate. Reject missing or negative required values. Never substitute the subtotal for a missing external budget.

Provide AV version buttons. Version 2 costs $700, producing a $900 subtotal, $1,650 under the external basis, or $1,035 under the line basis. Reset restores the original inputs and mode. Explain that the page does not create a spreadsheet or DOCX quote. Return only the complete HTML file.

For a fee-basis walkthrough, NOS can display this prepared HTML comparison. Show the revised AV amount under each separate basis, then return to the actual agreed mode and resolve FL01 in the maintained spreadsheet/DOCX quote.
