GPA Calculator Excel Template: Show the Credits Behind the Average

A three-credit course and a four-credit course carry different weights in a credit-weighted GPA. Build the Excel template around each course's supplied grade-point mapping and included credits, then show quality points and the denominator beside the result.

Use it as a planning calculation. The school's grade rules and official record determine what counts, including repeat courses, pass grades, and display precision.

A three-course worked example

Original illustrative data, not a transcript or an institution's policy. The sample scale maps A to 4, B to 3, and C to 2. All three courses are included under the sample's declared policy.

Course Credits Grade Points per credit Quality points
Course 1 3 A 4 12
Course 2 4 B 3 12
Course 3 2 C 2 4

Total quality points are 12 + 12 + 4 = 28. Included credits are 3 + 4 + 2 = 9. The unrounded planning result is 28 ÷ 9 = 3.111…. With an explicitly chosen two-decimal rounded display, the example shows 3.11.

The credit-weighted method follows the Illinois registrar's calculation explanation. Its transcript display policy truncates rather than rounds; that specific policy should not be applied to another school without its instructions.

Set up the workbook in three parts

Use a Scale sheet for grade symbols and supplied points, a Courses sheet for credits/grade/eligibility, and a Summary sheet for quality points, included credits, and the display policy. Keep the policy source and date visible.

For the simple three-row example, let B2:B4 contain credits, D2:D4 the confirmed point values, and F2:F4 the quality points. After validating the mappings, F2 is =B2*D2, copied through F4. The example's unrounded summary is =SUM(F2:F4)/SUM(B2:B4). These formulas describe this all-included sample layout; they are not tested formulas for an existing workbook with different columns or policies.

When adding eligibility, build an Included credits column as well as quality points. Excluding a course from the numerator while leaving its credits in the denominator changes the result incorrectly. A pass/no-credit record is excluded only if the supplied policy says so.

Stop at an unmapped grade

If a row contains B+ but the Scale sheet has no B+ mapping, show mapping needed. Do not treat the missing lookup as zero points or silently use B's value. Similarly, an unknown eligibility rule prevents a complete policy-based calculation.

Guard a zero denominator and invalid credit values before division. Keep actual grades separate from projected grades, with separate summaries if you are exploring a scenario. A projected A does not belong in a result labeled actual.

For display, retain the unrounded calculation and specify the chosen rounding or truncation rule separately. Check the receiver's policy before comparing the template with an official transcript; a rounded planning view is not an official evaluation.

Prepare an Excel GPA planning template in US English.

School policy source/date: [paste or NOT SUPPLIED]
Grade-point mapping: [paste]
Course rows with credits, grades, actual/projected state: [paste sanitized data]
Inclusion/repeat/pass-grade rules: [paste or NOT SUPPLIED]
Rounding/truncation/display instructions: [paste or TO CONFIRM]

Specify Scale, Courses and Summary sheets. Compute quality points from mapped
points times included credits, then divide total quality points by included
credits. Show the denominator and each inclusion reason. Unmapped grade,
unknown eligibility, invalid credits, and zero denominator need visible input
errors, not fabricated zero points. Keep actual and projected results separate.
Preserve full precision before the declared display rule. Give formulas with
explicit columns/ranges; do not claim they were tested in my workbook.

Do not invent school policies, transcript equivalence, official evaluations,
admissions or aid outcomes. Keep Excel as the maintained artifact. An optional
sanitized HTML worked-review copy can show mappings/quality points/credits,
but must not claim workbook import, official grading, or transcript uploads.

Before using the result, match the scale, eligibility, and precision to the supplied school rules. Resolve unmapped grades first, then check that the numerator and denominator use the same included courses. Keep official GPA questions with the registrar and planning formulas in the workbook.

Optional: inspect the worked calculation in NOS

NOS can save and display an HTML review copy showing each course's quality points beside the included-credit total. Use sanitized examples for that reading check; maintain the actual workbook and official grade records in their established locations.
