This original paper-packet example connects an SOP preparation record to detailed work steps and a hold/rework log. It is a draft for owner review, not an approved or validated operating procedure.

Establish the job and instruction status
The fictional product is P01 Welcome Packet, job J01, with units U01, U02 and U03. The supplied revision requirement is WI-P01 Rev B.
The actual approval evidence and effective date are to confirm, so the proposed instruction remains Draft. A revision named in a job record is not proof that the document has been authorized for use. Obtain the maintained approved instruction and responsible roles before applying it to actual work.
Smartsheet's work-instruction descriptions include manufacturing process identity and assembly step numbers, quality checks, notes and changes. This example adopts that record structure with original packet data. It does not reproduce downloadable templates or assert safety, certification or performance outcomes.
Give every unit the same declared contents
The original per-unit proposal is:
| Component | Quantity per unit | Planned need for three units | Identity/content input |
|---|---|---|---|
| Folder | 1 | 3 | Actual component ID to confirm |
| Information cards | 2 | 6 | Actual card IDs and Rev B contents to confirm |
| Printed label | 1 | 3 final labels | Actual label ID, product text and revision key to confirm |
The planned totals are 3 × 1 = 3 folders, 3 × 2 = 6 cards and 3 × 1 = 3 labels in the final packets. These are required quantities for the fictional proposal, not an inventory transaction or a measured usage result.
Keep component identity and count as separate checks. Two cards of the wrong revision still meet the number two but do not meet the supplied Rev B requirement. Do not override the job's revision requirement silently to accept an available Rev A card.
Attach an observable check to each step
Use these original steps only as a preparation example:
- S01 — Verify the job: Match J01, P01, the unit IDs and the required instruction revision. Check actual authorization and component identifiers against the maintained source; unresolved authority keeps the document draft.
- S02 — Check the unit contents: Lay out one folder and two required Rev B information cards for each unit. Compare count and content identities before moving on; record missing or mismatched components.
- S03 — Match the label: Compare the supplied label's product text and revision with the confirmed key. Record a mismatch against its unit rather than hide it in a batch total.
- S04 — Final component/content review: Verify the proposed one/two/one contents and relevant checks. Record the actual reviewer and outcome under the authorized process; a prepared row cannot supply that evidence.
This paper example specifies no cutting, machinery, chemicals or other industrial operating parameters. The actual materials and approved procedure must supply any required instructions; the template cannot invent them.
Keep the original finding during correction
The separate illustrative inspection ledger says:
| Unit | Illustrative state | Supplied finding |
|---|---|---|
| U01 | Ready for review | No mismatch supplied in this example |
| U02 | Ready for review | No mismatch supplied in this example |
| U03 | Hold | Label L03 has a misspelling |
Thus two ready for review + one held = three assembled units in the illustration. None is described as authorized for release. An absence of a supplied mismatch is also not an actual inspection result for a real packet.
Record the U03 finding and rejected label L03. Request a replacement, identified here as proposed R03. Keep the original finding, requested correction, actual replacement evidence and subsequent review in separate log fields.
A click or revised text preview does not produce or approve R03. Change U03's state only when actual replacement matches the confirmed key and the required recheck/review evidence is supplied. Leave the actual correction date, verifier and release decision blank beforehand.
Reconcile final contents and replacement history
The three final packets still require one label each. A rejected L03 and a replacement R03 belong in transaction history; they do not mean four labels belong inside three finished packets.
If actual material usage differs because a replacement was consumed, record that usage separately from final contents. The preparation counts do not authorize an inventory adjustment or establish a completed customer order.
Maintain the authorized SOP/work instruction, actual unit checks and correction records in the required Word, PDF, workbook or operating workflow. A future review can trace steps and U03's exception, but cannot replace those records or release units automatically.

Keep authorization unknowns visible; named revision alone does not prove approval.
Bind each unit to the required component counts, identities and revision.
Number the steps and attach observable checks. Do not accept wrong-revision
cards merely because the count matches. Retain original defect, proposed
replacement, actual correction and recheck separately. Ready for review,
hold and authorized release are different states. Leave actual review/release
fields blank until evidence is supplied. Separate final unit contents from
rejected/replacement transaction history. Check all quantity arithmetic.
Do not invent industrial parameters, actual inspections or validated approval.
Return the proposed native instruction sheet, per-unit check record and hold/
rework log. If requested, specify an HTML procedure/record review copy.
No inventory writes, label purchasing, release or saved-edit controls.
Trace U03 from its first label finding to the still-unconfirmed replacement and recheck with the procedure owner before using the draft. NOS can save and display an HTML procedure-and-record review copy for that discussion. Keep actual counts, approvals and authorized instructions in the native workflow, and require correction evidence before changing a held unit's recorded status.
