A training quotation template should state the billing basis for preparation, live delivery, and optional follow-up. Put the participant limit beside those lines so a capacity problem cannot become an invented extra charge.
This original fictional quote covers a paper-labeling workshop for one cohort of up to 12 learners. All rates are assumed instructional examples, not market prices. The quote remains a proposal; actual audience, objective, materials, access needs, dates, commercial terms, and approvals are unconfirmed.

Separate the three kinds of service time
| Service | Proposed time and assumed rate | Amount | Scope |
|---|---|---|---|
| Preparation | 2 hours × USD 60/hour | USD 120 | Prepare the supplied workshop brief and original exercise/key pack |
| Live delivery | 2 hours × USD 90/hour | USD 180 | One cohort, up to 12 learners |
| Base subtotal | USD 120 + USD 180 | USD 300 | Before unknown tax/travel/other charges |
| Optional follow-up | 1 hour × USD 60/hour | USD 60 | One separately selected review |
| Subtotal with follow-up | USD 300 + USD 60 | USD 360 | Option selected; actual agreement still required |
The two preparation hours are separate from the two live hours. The base quote has four proposed service hours across those categories, but only two are live delivery. The optional review adds another proposed service hour; it does not silently lengthen the workshop.
Keep the quote in the client's required PDF or DOCX format. Record quote ID/revision, currency, client/provider placeholders, service scope, selected options, and actual supplied commercial terms.
CDC's training-needs guidance considers creation/delivery resources, budget, time, and suitability for learners and their settings. Those scope-planning questions are relevant here. The source does not establish these prices or endorse this workshop. CDC, Assess Training Needs.
Bind the learning packet to the workshop brief
The example includes an original printable exercise and separate key. Confirm the actual paper-labeling objective, supplied label rule, learner context, expected exercise output, and teacher-review criterion before preparing those materials.
List the planned packet as a deliverable without claiming it has been produced or used. A supplied model or criterion can support the exercise design; it does not establish that learners attended, completed training, or demonstrated competence.
The quote does not include a certificate or a mastery guarantee. If the client requests additional evidence, assessment, or a certificate, record it as a scope question rather than treating it as part of “training” by default.
Leave delivery format, accessibility arrangements, location, travel, and actual timing unresolved until supplied. Do not let a price table imply that the provider can deliver under any classroom or technical conditions.
Keep the cohort check separate from the price check
| Proposed participant count | Base price under supplied example | Scope interpretation |
|---|---|---|
| 10 | USD 300 | Within the declared cohort cap |
| 12 | USD 300 | At the declared cap |
| 13 | Original base lines remain USD 300 as a reference | Requested scope exceeds cap; revised quote needed |
Ten to twelve does not change the assumed service fees because the pricing unit is one cohort, not one seat. For thirteen, do not divide $300 by twelve and add a seat price, add the optional $60 as an overflow fee, or invent a second-cohort charge.
Flag the requested count as outside the original scope. Ask the provider to confirm a revised delivery arrangement, preparation needs, materials, participant grouping, and actual estimate. A base subtotal can still reconcile arithmetically while failing to price the requested service.
If the review displays thirteen participants, label the original $300 as an original-scope reference, not a valid quote for thirteen. Do not show a final-ready price beside the capacity flag.
Treat follow-up as an independent option
With follow-up selected, the known subtotal is $360 for the original cohort scope. With it unselected, it is $300. Selection in a draft comparison is not client acceptance or a booking.
Describe what the one-hour review covers, which supplied work it references, and who receives it. Keep dates, review inputs, actual approval, and delivery fields blank until confirmed. Selecting the option does not resolve a thirteen-person capacity request.
Unknown tax, travel, pricing validity, and other commercial conditions remain TO CONFIRM. The example supplies no payment schedule or complete final charge.

Use a labeled fictional paper-labeling workshop, one cohort up to
12 learners. Assumed preparation 2 hours * $60 = $120; live delivery
2 hours * $90 = $180; base known subtotal $300. Original printable
exercise/key pack included as a planned deliverable, not completed.
Optional one follow-up review 1 hour * $60 = $60; selected subtotal $360.
Unknown tax/travel/charges excluded and flagged, not assumed zero.
Return complete service scope, time/rate lines, included learning
packet description, cohort check, follow-up selection record,
clarification request and blank actual approval/delivery fields.
Separate prep/live/follow-up time. No attendance, competence,
certificate or completed training claim from planned deliverables.
10 or 12 participants leaves base $300 under original cohort basis.
13 exceeds cap: requires revised delivery scope and quotation,
not a per-seat amount, automatic extra $60 or second-cohort charge.
Keep original lines only as original-scope reference, not a valid
final price for 13. Follow-up does not fix the capacity gap.
Selecting an option is proposed, not actual acceptance or booking.
Optional sanitized local review may calculate stated line amounts
and flag scope gaps; no accept/pay/enroll/send or persistent changes.
No source medical curriculum, accreditation, CDC endorsement or
guaranteed learning results. Return complete native quote text.
Read the generated quote with thirteen participants entered and follow-up selected. It should preserve the price arithmetic while making the unresolved delivery scope unmistakable, rather than turning two separate questions into one automatic charge.
Review the cohort and service lines in NOS
NOS can save and render prepared HTML. A sanitized HTML companion can display the preparation/live/follow-up lines beside the cohort check. That gives the provider and client a clear basis for discussing a capacity change.
