Volunteer schedule template: find the gap within each shift

Find the staffing gap within each role and interval.

Three names appear on the volunteer list, but one table still has nobody covering its final hour. Compare the required roles and time intervals with the assignments, not just the total number of names. A volunteer schedule needs to show where each person should be and when the handoff happens.

Prepare the schedule from the actual event's role descriptions, shift needs, and volunteers' supplied availability. Keep proposed assignments distinct from arrangements the coordinator has confirmed. The schedule is a communication record; a name on a draft does not establish attendance or completed volunteer time.

Work through a small coverage example

This original fictional book exchange uses local event times from 9:00 to 11:00 a.m. The actual date, venue, and time zone are not supplied. Its one-hour intervals are author-created planning units, not a staffing recommendation for a real event.

  • Welcome table, 9:00-10:00: one person requested; Avery is listed in the fictional assignment record.
  • Welcome table, 10:00-11:00: one person requested; no assignment supplied.
  • Book sorting, 9:00-10:00: one person requested; Blake is listed.
  • Book sorting, 10:00-11:00: one person requested; Casey is listed.

There are four requested role-hours and three listed role-hours. One role-hour remains unassigned: the welcome table from 10:00 to 11:00. The three names alone do not reveal that gap.

parkrun's Volunteer Coordinator description places roster management and responding to offers of help with the coordinator. Use that role distinction when deciding who maintains your schedule. The book-exchange example is independent of parkrun and does not represent its staffing requirements or systems.

Check availability before moving a name

If Avery cannot stay beyond 10:00, extending that row to 11:00 would make the sheet look complete while contradicting the available information. Ask the coordinator to find an actual available person for the second welcome interval. Keep the gap visible until the arrangement is established.

Check overlapping assignments too. A volunteer listed at the welcome table and book sorting from 9:00 to 10:00 would fill two rows on paper. It would not provide two people for simultaneous work. Compare intervals for the same person before counting them toward coverage.

Keep required role-hours separate from unique volunteers. A person covering two consecutive one-hour shifts contributes two listed role-hours and one unique name. Neither figure is an attendance record or a count of actual hours served.

Make the handoff specific

Write where a volunteer checks in, who provides the role instructions, and the agreed route for reporting a change. Leave missing details blank until the organizer supplies them. A helper needs to know who takes over at 10:00; a colored cell alone cannot answer that question.

The worked example lets the reader inspect both roles, just the welcome table, or just book sorting. Welcome coverage is one listed role-hour against two required; sorting is two against two. Keep the whole-event four/three/one summary labeled separately from the filtered view.

Bring unresolved role instructions and supervisor questions to the volunteer meeting agenda. Use the briefing to obtain the missing answer, then record any accepted assignment in the roster; attending the briefing alone does not fill the uncovered hour.

The event run of show connects segments to operational cues and execution roles. This schedule checks staffing coverage across intervals. Resolve the uncovered hour with the coordinator, then communicate the accepted assignment through the actual event channel.
