ChatGPT for Google Sheets formulas: diagnose a broken IMPORTRANGE connection

Your Google Sheets report shows #REF! where another workbook's values should appear. Ask ChatGPT to inspect the formula and the full error message, then check the source access and destination connection in Sheets. Rewriting the formula cannot grant a permission your account lacks.

You can use the official ChatGPT sidebar inside Google Sheets or paste a permitted formula and error into a regular conversation. The useful task is the same: distinguish access, range, and refresh problems before changing the report.

Open the official sidebar, or supply a small diagnostic sample

OpenAI's current setup instructions link to the official Google Workspace Marketplace listing. Install from that route if your organization permits it, open ChatGPT from Sheets' Extensions menu, and sign in. An administrator may need to enable access. Spreadsheet conversations are separate from main ChatGPT history, so provide the report-specific context.

If you are working in regular ChatGPT, copy the formula, exact error detail, source-tab name, and intended range. Replace confidential file identifiers with placeholders where possible. A private Sheets link in a message does not itself establish that ChatGPT can read it. Describe checks you performed in Sheets instead of asking the model to infer permissions from a URL.

Read the error detail before choosing a repair

This original fictional report needs three approved supply rows from another workbook. Its intended formula is:

=IMPORTRANGE("[SOURCE_SPREADSHEET_URL]", "Supplies!A2:C4")

Replace the visible URL placeholder with the real approved source in your working sheet. It is not a working document link. Supplies!A2:C4 means the named source tab and the three rows by three columns the report needs.

Google's IMPORTRANGE reference distinguishes connecting the two spreadsheets from obtaining access to the source. A destination may display a connection prompt with Allow Access. If you lack access to the source itself, request it from its owner through the approved route.

The permission has a wider consequence: Google says destination editors can then import other parts of that source. Check the intended destination audience before connecting confidential workbooks. Making the source publicly accessible is unnecessary for this task.

Give ChatGPT the evidence for the next check

What you observe What to supply What you check in Sheets
A prompt to connect the sheets Exact prompt and formula Correct source and destination; whether connecting is approved
Your account cannot open the source Full access message, without credentials Source owner and your existing access
Source opens, but the requested tab/range differs Actual tab name and intended cells Exact source tab and range; correct any mismatch in a copy
Values appear but seem old Source value/time and destination value/time Direct source versus any intermediate imports

These observations are diagnostic leads, not four interchangeable meanings of #REF!. Ask ChatGPT which check follows from the supplied message. If the full detail is missing, retrieve it before applying a proposed repair.

Verify the imported block before trusting the report

For the fictional source, the approved rows are Paper / 2 / 12, Markers / 3 / 4, and Tape / 1 / 5. The expected destination block contains those same three rows and nine values. It should not include a header row or stop before Tape.

Compare that small block directly with the authorized source after resolving the connection or range issue. If your actual source differs, use its values for the comparison. The example does not establish that your sheet has been repaired.

For delayed values, Google notes that chains of IMPORTRANGE can add delay and recommends limiting them. Trace whether the report imports from the original source or an intermediate workbook. Do not promise instant synchronization or keep changing permissions to solve a timing problem.

Known intermediate workbook imports: [LIST OR UNKNOWN]
Approved small source values and destination values: [PASTE]

Separate confirmed observations from hypotheses. Identify the next
specific access, connection, range, or refresh check. Do not infer
access from a pasted URL, invent source contents, suggest public
sharing, or claim a repair was executed. Explain any proposed formula
change and its exact range. I will verify permissions and results in
Sheets. Preserve other report formulas and wait for my observations.

Record the actual cause once confirmed: for example, a missing destination connection or a renamed source tab. Retain the checked formula and the small source comparison beside the report's maintenance notes. If you share the destination, review what a view-only Google Sheets link exposes separately from the import permission. The next person then has a starting point more useful than “ChatGPT fixed it.”
