An invoice assembled from rough notes can look complete while charging for work that was canceled or already included in a fixed fee. The useful first result is a reconciliation you can inspect.
Separate the agreement from the activity log
Prepare the applicable agreement or approved rate sheet, the work period, and identifiable activity records. Add adjustments with the source that authorized them. Use copies your organization permits in your ChatGPT account; a small permitted excerpt may be sufficient.
ChatGPT can draft documents and analyze supplied files, but an AI-created invoice is still a draft to review. Available file tools depend on your account and workspace. OpenAI's current ChatGPT guide, checked October 24, 2026.
Keep these questions separate:
- What work happened?
- Which work does the agreement let you bill separately?
- Which amount, credit, or adjustment has been approved?
A time entry answers the first question. It does not automatically answer the others.
Work through a small reconciliation
This authored example uses fictional work records and approved terms, with no tax calculation or claim of a live ChatGPT result.
The agreement provides a $600 fixed fee for an initial report and one revision. Additional analysis is $80 per hour only when approved. The records are:
| Record | Evidence | Treatment |
|---|---|---|
| W01 | Initial report delivered | Covered by the $600 fee |
| W02 | Two hours on the included revision | Covered by the fee; no extra charge |
| W03 | Three hours of additional analysis, approved in A03 | $240 additional charge |
| W04 | One hour of extra analysis requested but never approved | Hold for clarification |
| C01 | Approved $50 service credit | Subtract $50 |
The supported draft subtotal is $790: $600 + (3 × $80) − $50. Billing all six logged hours on top of the fee would produce $1,030 after the credit. That would charge again for the included revision and include the unapproved hour.
W04 stays outside the invoice until its treatment is resolved. Its existence should remain visible in the reconciliation, so the unresolved work does not disappear during drafting.
Ask for the reconciliation and invoice together
Draft an invoice from the approved records below.
Seller and customer details: [APPROVED DETAILS]
Invoice number, issue date, work period and currency: [ENTER]
Agreement and rates, with source IDs: [PASTE]
Work records: [ID | DESCRIPTION | QUANTITY | APPROVAL SOURCE]
Approved adjustments and credits: [PASTE OR NONE]
Required purchase order/reference and submission format: [ENTER]
Payment instructions and due date already approved: [ENTER]
Tax instructions supplied by our accounting process: [PASTE OR UNKNOWN]
First return a reconciliation: each source record, whether it is
included in a fixed fee, separately billable, excluded, or unresolved,
and the exact agreement or approval supporting that treatment.
Do not charge twice for work covered by a fixed fee. Do not treat a
request, activity log, or estimate as approval for an extra charge.
Then draft invoice lines using only supported charges and approved
adjustments. Show quantity, rate, line total and subtotal. Keep tax
unresolved if I have not supplied its treatment; do not invent a rate,
registration number, bank details, invoice number, or payment term.
List missing information separately. Do not send or submit anything.
Read the reconciliation before the polished invoice. If the source only says “please investigate,” the draft must not silently label it approved extra work. Correct the classification and recalculate the affected totals.
Check the draft in the system that issues the invoice
Compare the fixed fee, each separately charged quantity, credits, and currency with the approved records. Calculate the totals independently in your invoicing system or spreadsheet. Check the customer's purchase order and billing identity against the actual client record.
Use the invoice number and tax treatment from your established accounting process. The prompt deliberately leaves these unresolved when you have not supplied them; it does not establish what your jurisdiction requires.
When the content is correct, issue the invoice in the format the client accepts. Sending an invoice to a client covers delivery to the right accounts contact. Keep the approved reconciliation with your billing record, so a later question about the additional analysis can be answered from A03 rather than from a rewritten AI explanation.
