For example, supplier-notes.pdf and supplier-notes-summary.docx can describe the same meeting while containing different evidence. Start the next analysis with the source you actually mean to use.
Find the original or generated result deliberately
Library supports search and filters for uploaded or generated files and file type. Search a distinctive part of the filename, then use the uploaded filter when you need a source document. Open or download the candidate to inspect its contents before relying on it.
For this illustrative supplier task, check the document's meeting date and the section headed “Delivery exceptions.” A filename alone cannot tell you whether the file contains the revised delivery terms or an earlier draft.
Use Add from library in a fresh conversation, choose the checked file, and ask for a small identity check first:
Use the attached supplier notes only. Identify the document title,
meeting date, and the heading containing delivery exceptions.
Quote the passage that states the delivery window.
If the passage is missing, say so. Do not reconstruct it from a
summary, earlier chat, or general supplier practice. Do not edit files.
Compare the passage with the source you inspected. Only then ask for a comparison or a new draft. If the file is a generated summary, attach the original instead of asking ChatGPT to expand the summary back into evidence.
Understand why a file may be missing
OpenAI says uploads made in Temporary Chat are not saved to Library. Files originating in a locked chat can also be hidden from Library while that chat remains locked. Check the originating chat and its access state before uploading multiple replacement copies. Saved files and exceptions
If Library displays a connected Google Drive item, its original remains in Drive. Treat that as a connected source, not a second local upload. Connecting and checking Google Drive covers that separate access path.
Manage the saved file independently of the chat
Deleting a conversation does not necessarily remove a separately saved Library file. To remove that file, select it in Library and use its deletion control. Before deleting the old supplier draft, make sure your team has the source record it needs in its maintained document location. For the new conversation, leave the intended source attached and state its date in the request so the next answer starts from the right version.
