Create a meeting agenda with ChatGPT: sort the topic dump before assigning minutes

Your meeting notes say “release changes,” “staffing,” and “fee waivers.” Ask ChatGPT to identify what each item needs from the group before it produces a timed agenda. Some updates can be read beforehand. Some decisions lack the evidence or authority needed to make them in this meeting.

The useful first result is a short triage list: send asynchronously, prepare for discussion, ready for decision, or waiting for clarification. These are planning categories you choose, not product features or proof that a meeting should be canceled.

Give the model the meeting's actual purpose

This original fictional case concerns planning an archive exhibition's opening session. The organizer has 25 minutes with the program lead and coordinator. The notes contain three topics:

Note Supplied information Useful first treatment
N1: release changes The exhibit guide's changelog is ready; no approval is requested. Send as a pre-read or update.
N2: staffing Choose one or two 30-minute opening demonstrations. Staffing coverage has not been supplied. Request coverage before treating the choice as decision-ready.
N3: fee waivers Someone asks whether the event can waive a fee. No policy or decision authority is supplied. Clarify the applicable policy and authorized decision-maker.

A generated agenda saying “Approve two demonstrations and waive fees” would invent both readiness and authority. Naming the program lead in the attendee list does not establish permission to make every decision.

Resolve preparation before filling the time

Ask the organizer what the meeting must accomplish. If choosing the demonstration format is the purpose, obtain the actual staffing constraints and confirm who may decide. Put the coverage information in a pre-read with a specific question: “Which demonstration arrangements can the confirmed staff support?”

The model can propose asking for that information; it cannot establish availability by drafting a name into the agenda. Likewise, N3 can become a question for the policy owner without consuming a decision slot in this meeting.

If preparation remains unavailable, offer the organizer a shorter clarification call or a written request as alternatives. Do not silently convert the calendar event into a canceled meeting. The organizer decides what to send and whether a discussion is still useful.

Build a conditional agenda from the ready item

Suppose the organizer later supplies the coverage sheet, confirms the program lead's decision authority for demonstrations, and keeps the 25-minute window. A proposed agenda could allocate:

  1. Five minutes to confirm the decision and the coverage constraints.
  2. Twelve minutes to compare one versus two demonstrations against that coverage.
  3. Five minutes to record the selected arrangement and any unresolved condition.
  4. Three minutes to read back accepted actions and owners.

The total is 25 minutes. These are proposed allocations for this authored scenario. They do not establish that either arrangement is feasible or that a decision occurred. The changelog remains a pre-read; the fee-waiver question stays with the policy owner until its authority and evidence are clear.

Copy a topic-to-agenda prompt

OpenAI's prompting guidance, checked October 24, 2026, supports explaining the audience, desired result, sources, and boundaries. Start with triage rather than asking for a polished agenda immediately:

Help prepare this meeting from a raw topic list.
Meeting purpose, date/timezone and available minutes: [ENTER]
Participants and confirmed decision authority: [ENTER OR UNKNOWN]
Raw topic notes with IDs: [PASTE]
Available pre-reads, constraints and open questions: [PASTE]

First classify each topic as asynchronous update, discussion needing
preparation, decision-ready, or clarification needed. Explain the
basis using note IDs. Do not invent authority, availability or facts.
For each proposed decision, identify the exact question, necessary
input, and authorized decision-maker. Keep missing items unresolved.

After I confirm the purpose and readiness, draft a timed agenda that
fits the supplied window, including a closing read-back. State what
participants must inspect before arriving. Keep deferred items and
their next question visible. Do not decide the outcomes, assign an
unaccepted owner, change the calendar, send invitations or cancel it.

Confirm what participants must bring

Read the proposed agenda against the original topic list. N1 should not return as an unnecessary presentation block. N3 should not become a fee-waiver approval just because the model found spare minutes.

Use the meeting agenda template after the questions, leads, and preparation are agreed. Put the approved agenda into the calendar or meeting packet participants already use. Ask the organizer to confirm the pre-read and decision authority before sending it, so the group arrives prepared for the choice it can actually make.
