Create a Word document with ChatGPT and check the editable file

The answer looks like a report in the chat, but your colleague needs a Word file they can revise. Ask ChatGPT for an actual .docx attachment, specify the document structure, and open the downloaded file in Word before sending it. Text that looks formatted in a response is not yet the deliverable.

OpenAI's file workflow documents creating and reviewing documents in ChatGPT Work on the web. Available tools and previews depend on the surface and account. If file creation is unavailable in your session, use the reviewed text in Word and save it there rather than renaming a text file to .docx.

Describe the file your colleague needs to edit

Name the audience, source material, required sections, and any supplied template. Say whether headings should be actual Word heading styles, whether a table needs editable cells, and whether the document should contain a contents list. These choices affect how someone works with the file after the chat.

For this original fictional case, a coordinator has approved notes for a tool-loan desk:

Source note Required treatment
Desk opens at 10 a.m. on Saturdays Keep the day and time together
Loans require the borrower's membership card Put the condition in the borrowing steps
Return slot closes at 4 p.m. Keep separate from the opening time
Damaged-item procedure not yet approved Mark for confirmation; do not invent steps

The output is an editable staff handout. It should not quietly turn an unapproved procedure into an instruction just to fill a section.

Request the DOCX explicitly

Create an editable Word document (.docx), not just formatted text
in the chat, from the approved notes below.

Audience: [ENTER]
Purpose: [ENTER]
Approved source notes: [PASTE]
Template or formatting requirements: [ATTACH/DESCRIBE, OR NONE]
Output filename: [NAME.docx]

Use a document title and actual Heading 1/Heading 2 styles for the
section hierarchy. Use editable paragraphs, lists, and table cells
rather than screenshots of text. Sections: [LIST REQUIRED SECTIONS].

Use only the supplied facts. Keep dates, times, conditions, and names
unchanged. Mark unapproved or missing instructions [TO CONFIRM].
Do not invent a logo, policy, approval, signature, or contact route.

Create the file and provide its download attachment. Report its
filename and the checks you performed. Keep unresolved questions
separate from approved operating instructions. Do not distribute it.

If a template is required, provide the permitted template and ask which parts can be preserved. Do not assume a request to “use our style” supplies fonts, margins, or a header that ChatGPT has never seen.

Open the attachment and inspect its structure

Download the generated file and open it in Word. Compare its content with the approved notes before reviewing appearance. In the tool-loan fixture, Saturday at 10 a.m., the membership-card condition, and the 4 p.m. return-slot closing must all survive. The damaged-item procedure must remain unresolved.

Then inspect the parts that make the document editable. Place the cursor in a heading and check its style. Open Word's Navigation Pane and check that the intended headings form a useful outline. Click in a table cell and confirm it is text you can edit, rather than a pasted image.

Look through the pages in Print Preview. Check for a heading stranded at the bottom of a page, a split instruction that becomes confusing, or a table wider than the printable area. A file can open successfully while still needing these repairs.

Request a narrow second version

OpenAI recommends naming the affected passage or table and stating what should remain unchanged when requesting file revisions. Ask for a new filename so you can compare the two attachments. Reviewing generated files

In [CURRENT FILE], revise only the “Damaged items” section.
Approved wording is now: [PASTE EXACT APPROVED INSTRUCTION].
Keep all other wording, heading styles, table values, and page setup.
Return [NEW FILE NAME.docx] and list the changes you made.

Open the new attachment and compare it with the approved instruction. Check the surrounding page too; a small text change can move a heading or push the final row onto another page.

Keep the accepted Word file in the team's document location and give your colleague that version. If your starting point is an existing web page, converting HTML to Word covers the different problem of carrying existing content into the format.
